The AI Message Creation helps recruiters and hiring managers maintain a consistent tone while saving time - ideal for crafting outreach, interview invites, and follow-ups.

The AI Message Creation is embedded in the messaging view of each applicant profile. It helps you create well-structured, stage-appropriate messages with just a short prompt - no need to start from scratch.

You can use it to:

  • Generate outreach emails

  • Personalize interview invites

  • Write follow-up messages

  • Improve tone and structure for existing drafts


Configure AI Message Creation in Company Settings

To enable the AI Message Creation for your team:

  1. Go to Settings > Company Settings > AI Assistant

  2. Enable the toggle to activate AI Message Creation

  3. Select which roles should have access (e.g. Admin, Recruiter, Hiring Manager)

  4. Optionally customize what the AI should focus on learning

  5. Click Save

💡 Customize in AI Assistant settings what the AI should learn about your brand tone or communication style.


Generate and Send Personalized Feedback

  1. Open an Application Card

  2. Navigate to the Messages tab

  3. Click Generate message next to the message field

  4. Write your prompt

    1. Write a short instruction, such as:

      • “Invite to first interview next week”

      • “Follow-up after interview, position still open”

      • “Reschedule interview”

  5. Review the AI-generated message

  6. Make edits if needed

  7. Click Send or schedule the message for later

Common Issues

Solution

AI Message Creation is not visible

Make sure the AI Message Creation setting is enabled under Settings > AI Assistant.

Message doesn’t match your tone

Edit freely or provide clearer prompt instructions (e.g. “Make it more formal” or “Use friendly tone”). You can also edit the tone instructions in AI Assistant settings.

Wrong user roles have access

Check permissions under AI Assistant settings. You can assign access per role: Admin, Recruiter, Hiring Manager, etc.
