AI-generated Personalized Feedback for Rejected Applicants

Provide tailored and constructive rejection feedback using the AI-powered Personalized Feedback feature - directly integrated into your Evaluation flow.

Personalized Feedback helps recruiters deliver clear, balanced, and helpful feedback to applicants who are not selected for a position. Using your team’s evaluations and the role’s requirements, the AI Assistant generates a rejection message that highlights the applicant's strengths and areas for improvement.

This feature is especially useful for maintaining a respectful and professional applicant experience - even when the outcome is not favorable. Personalized Feedback is multilingual and seamlessly built into the Feedback tab of the applicant’s profile.

Enable Personalized Feedback

  1. Go to Settings > AI Assistant

  2. Activate Personalized Feedback

  3. Select which user roles should have access:

    • Admin

    • Recruiter

    • Hiring Manager

    • Reader

    • Custom

  4. Optionally, write custom guidance in the text box to inform the AI about tone, style, or specific instructions

  5. Click Save

Add the Evaluations in Job Edit View

To ensure high-quality AI-generated feedback, your job position must include clearly defined evaluation criteria.

  1. Open the job edit view from Positions

  2. Go to the Requirements tab

  3. Under Job requirements, define:

    • Hard skills and Soft skills

    • Any relevant experience or certifications

    These are used as the base for AI Skills Matching

  4. Scroll down to Evaluation steps

  5. Add evaluation steps such as:

    • Application review: Include skills like Experience in talent acquisition or Headhunting

    • Online or Interview: Add relevant questions and choose the input format (e.g. Yes/No or Rating scale)

  6. Click Save and exit

✅ The more structured and relevant your evaluations are, the more accurate and helpful the AI feedback will be.

Evaluate the Applicant

  1. Open an Application Card

  2. Go to the Evaluation tab

  3. Complete the evaluation steps by rating relevant skills or qualifications (e.g. recruiting experience, collaboration, communication)

  4. Choose an overall impression: Not Qualified, Limited, Good, or Excellent

These scores form the basis of the AI-generated message.

Generate and Send Personalized Feedback

  1. Navigate to the Feedback tab

  2. Click Re-generate with AI next to the message field

  3. Review the auto-generated message

  4. Make edits if needed

  5. Click Send or schedule the message for later

💡 Tip: The message is tailored to the applicant’s evaluation and the position’s required skills, ensuring consistency and transparency in rejection communication.
