Occasionally, our users have long term open applications where an applicant might apply more than once over time. How should TalentAdore implement open/continuous/ongoing searches where applicants can participate multiple times if they wish?
Currently, in the system, an applicant can submit more than one application; the system does not prevent applying for an open position multiple times unless the organization has denied multiple applications under settinfs. You can put this setting on or off under status-updates page: 'Prevent applicants from submitting duplicate applications."
If this is enabled, and especially if you are hiring suitable applicants for a specific role from a long-term search, it's advisable to do the following for qualified applicants:
Open a hidden position (one that is not advertised on your websites or elsewhere) specifically for the particular role you are hiring for. For example, you are looking for an experienced welder from some open or continuous search. So, open a separate hidden 'Experienced Welder' role.
Move only the applicants qualified for this hidden position from the open application, so they can go through the normal processing pipeline. This way, they do not get stuck in the open position nor get disqualified from applying again in the future, and their application do not remain pending after processing.
Keep applicants who are not qualified for a specific role in the open search and mark them with the status 'not qualified.' Send a feedback message to the applicants without giving them a final outcome. This way, they can update their application in the future, if needed, and reapply for a job. If you adopt this practice, remember to enable the setting for recruiters in their user-specific settings: 'I want to receive a notification when an applicant has modified their application.' This way, they will be informed if applications in open searches are updated.
